Profile Settings
The Profile Settings display the user name, user role(s) and email address(es). More importantly, you can check and adjust the email preferences.
Email Preferences
The Email Preferences allow you to set how email messages are sent by the system when you are a Hold Manager in a Hold. All emails that are related to a Hold are sent by the Hold manager for that Hold.
There are three options: the application can send emails on your behalf using your own Microsoft 365 email account; the application will use its internal email system to send messages on your behalf; or you can use your Google Workspace Gmail account.
System Administrators can view the integrations and the statuses on Integrations.
You will need to give consent to the legal hold application to send email messages on your behalf.

Click on Enable to connect your Microsoft 365 Email account.

Select Microsoft 365 Office Email and click Continue.

Click on Accept.
In the example below, consent has been given.

Click Show More and then click
to enter a Custom Reply Email Address.

Select Send Test Message and select yes to check if it works.

Click on Disable to disable the Email integration. In addition, select the
icon to find out how to revoke consent (or go directly to Disable Integration with AAD).

Click on Enable to connect the internal Legal Hold Email system to your account.

Select Legal Hold Email and click Continue.

Click Show More and then click
to enter a Custom Reply Email Address.

Select Send Test Message and select yes to check if it works.

Click on Disable to disable the Email integration.

Click on Enable to connect the Google Workspace Gmail system to your account.

Select Google Workspace Gmail and click Continue.

If you already have an account setup, you must choose the account, enter the password and click Next.

If there are no accounts previously set up then the Google Sign In window will appear. You must sign into your account and click Next.

Note: You may see a message that Google hasn't verified this app. This verification is in progress. Click on Advanced and then proceed to the legal hold site.

You will get a message from Google asking for your consent. Check the box to send email, and any other options you want to include. Click Continue.
