Integrate with Workday

LEGAL HOLD offers the ability to synchronize contact details in the Address Book with Workday. Before you can begin to synchronize data, you first need to create an integration between the two applications.​ This integration contains the credentials that allow you to connect to Workday and extract needed user information.​ The instructions below detail the process of configuring the integration both on the Workday side as well as within LEGAL HOLD.

Note 1: Using Workday can enrich your address book data. However, it is recommended to update your main identity provider with required data and use a single source of user data in LEGAL HOLD for reliability and simplicity.

Note 2: Since Workday integration may be slow, please select only necessary fields (especially “Cost Center” and “Company”) during its provisioning configuration to minimize the amount of loaded data.

Configure Workday Integration

Note: A Workday subscription and Workday administrator privileges are required.

  1. Create the integration system user.

    1. Log in to your Workday Application.

    2. Search and open the "Create Integration System User" task in the Workday Application.

    3. Set up your user with new user name and password.

  2. Create security group.

    1. Search and open the "Create security group" task.

    2. Choose security group type - ask your Workday integration partner to select the appropriate one.

    3. In the next step, add the previously created integration user to your group and specify scope for the constrained group.

  3. Configure security group permissions.

    1. Search and open the "Security Group Membership and Access" task.

    2. Search and select the security group you created.

    3. Click on the ellipsis next to group name, select Security Group > Maintain Domain Permissions for Security Group.

    4. Under "Integration Permissions" add the following permissions into the GET section:

      • Worker Data: Workers

      • Worker Data: All Positions

      • Worker Data: Current Staffing Information

      • Worker Data: Business Title on Worker Profile

    5. Click OK and Done on the next screen.

  4. Activate security policy changes.

    1. Search and open the "Activate Pending Security Policy Changes" task.

    2. Enter a comment for auditing purpose and click OK.

    3. Check Confirm and then click OK.

  5. Determine your Workday API URL.

    • Type "public web services" in the search box.

    • Under Reports, select Public Web Services.

    • From the Public Web Services list, select one and click the ellipsis (…) to reveal a drop-down menu. Select Web Service > View WSDL, which displays the full WSDL in a separate window.

    • In the WSDL, search for soapbind:address to see the web services endpoint corresponding to the web service that you chose.

    • For the configuration you only need the URL up to the tenant name. For example, if the value in the WSDL is https://implcc.workday.com/ccx/service/okta_pt1/Human_Resources/v19, you enter: https://impl-cc.workday.com/ccx/service/okta_pt1.

      Note: There are other ways to get the API URL. You can search for them if the purposed one doesn’t work for you.

  6. Optional - Restrict access only to Legal Hold service.

  7. Optional - Restrict access to subset of users.

Configure Legal Hold integration

Note: A LEGAL HOLD subscription and LEGAL HOLD System Administration role are required

  1. Create integration

    • Log in to your Legal Hold subscription.

    • In the left navigation bar go to Admin Center > Subscription > Integrations.

    • Click Create Integration.

    • Select "Workday Contact Synchronization" and populate configuration:

    • Click Create. The integration will be created and validation initiated.

    • If validation passes, the integration will become enabled and you can use it to synchronize user data. Visit the Address Book Synchronization page to configure and run contact synchronization. See Address Book Synchronization.

    • If validation fails, check error message and credentials provided.
